DATA RETENTION POLICY

1. Purpose
This Data Retention Policy (“Policy”) describes how GQ Luxury Services (“we,” “us,” or “our”) retains, archives, and deletes personal data collected through the mobile application, website, and related services (“Services”). This Policy ensures compliance with applicable privacy, tax, transportation, and record keeping laws.
2. Scope
This Policy applies to all personal and operational data handled by GQ Luxury Services, including data related to Riders, Drivers, employees, contractors, and partners.
3. General Principle
We retain personal information only for as long as legally required or necessary to fulfill the purposes for which it was collected, including to provide Services, meet contractual or legal obligations, resolve disputes, maintain security, and enforce agreements.
4. Retention Schedule
We categorize data and apply retention periods as follows:
• **User Account Information (Riders and Drivers):
•** Retained while the account remains active and as long as legally required after closure for compliance and recordkeeping.
• **Trip and Transaction Data:** Retained for the period required by transportation, tax, and accounting regulations (typically 3–7 years, or longer if needed for legal compliance).
• **Payment Records:** Retained for the duration required by financial and anti fraud laws, generally 7 years.
• **Location (GPS) Data:** Retained for operational and safety purposes, generally up to 12 months unless required longer for legal or investigative reasons.
• **Communications and Support Logs:** Retained for up to 3 years or as needed for dispute resolution and compliance.
• **Regulatory & Licensing Data (e.g., driver documents, TLC/FHV license):** Retained as required by applicable transportation authorities.
• **Analytics & Technical Logs:** Retained for system security, performance monitoring, and
troubleshooting; typically anonymized or deleted within 12–24 months.
• **Backup Archives:** Maintained in secure storage with restricted access and deleted or overwritten on a fixed cycle (not exceeding legal retention limits).
5. Legal and Compliance Requirements
Certain laws require retention of records for specified periods, such as tax, anti-fraud, transportation, and employment laws. GQ Luxury Services will comply with these obligations and may extend retention where necessary to protect legal rights or respond to lawful requests.
6. Data Deletion and Anonymization
When data is no longer needed, we securely delete or anonymize it. Deletion methods include secure wiping, de identification, or encryption key destruction. Data retained for analytics or research may be aggregated and rendered nonidentifiable.
7. User Requests
Users may request deletion of their personal data as permitted by law. However, we may retain limited data necessary to comply with legal obligations, resolve disputes, or enforce agreements. Requests can be submitted to Support@gqluxuryservices.com.
8. Security and Access Control
All retained data is protected through administrative, technical, and physical safeguards. Access is limited to authorized personnel who require it for legitimate business or legal reasons.
9. Policy Review and Updates
This Policy is reviewed annually or as required by changes in law or operational practices. Updated
versions will be posted on our website and app, with notice provided when required.
